One of the most beneficial time-savers most dealership management systems will give you is programming your closing documents into the software. This feature is fairly standard on any dealership software, but uploading those documents may be more complicated than you think.

Fortunately, EverLogic has plenty of experience in document management and does each document with patience and diligence, so you don't have anything to worry about.

Programming your closing documents

Document programming is a simple concept. Basically, a company like EverLogic will program your state-required documents into their dealership management software. When you fill out the sale of any of your inventory in the software, the document automatically fills itself out so at the conclusion of the sale, all you need to do is print and sign.

However, the programming is much more complex. All 50 states have different laws when it comes to buying a vehicle, and the individual laws differ from the type of vehicle purchased. For example, Tennessee's laws require more for a closing document than Alabama's. And buying a car in Tennessee is different than buying a utility trailer.

EverLogic does have templates for closing documents for all 50 states in the US as well as Canada's provinces. However, we still need to make sure that all of the language within those documents is correct so you're not at any legal risk.

Next, we will need to integrate the documents within the software you will be using. Also known as mapping, this process is very important as each action for a sale may affect the document in some form. For example, a customer's name and phone number need to appear in the correct place. Not only that, when you close a sale, the software needs to ensure that the correct information for the agreed price and financing terms, vehicle specifications, and other important data goes into the document in the correct place and has the correct language.

This is the reason why document programming is one of the most work-intensive parts of implementation.

Document programming and EverLogic

Because document programming is so important, EverLogic dedicates two people full-time to this task. They work with our dealers to ensure each document is correct and seamlessly works within our dealership management software.

Each document will come from our template, though you will have your dealership's branding on it. This service is included in your $3,999 implementation fee. That fee also covers uploading all your data onto the software, training, and QuickBooks mapping if you need it. Also, if you have multiple locations in different states, the cost of your document programming in each state is still covered.

Once you begin using EverLogic, the software will automatically fill out and process your documents. At the conclusion of the sale, you can print out all the necessary documents in a printer-friendly PDF format. The only thing left to do is sign on the dotted line.

Conclusion

Document programming is one of those services provided by dealership management systems to help save you and your dealership time and money. You don't have to worry about typing up each specific document, with the risk of a mistake, then printing it after all that work. By retrieving all the data you already entered into the DMS, you can simply print the document and prepare it for signing. Your documents will also be updated if your state passes any new laws affecting your documents.

This process is sometimes tedious for our team, but we work hard to take that burden off of you. Overall, the result is that you will have cleaner documents with your branding in a fraction of the time it takes to work on a document manually.
